Six Features That Run
Your Pub.

Purpose-built modules that address the real operational demands of pub businesses in South Africa.

Bar Tab Management

Open tabs by customer name, table number, or room number, with configurable pre-authorisation limits that prevent any single tab exceeding the amount your team is comfortable extending. Barstaff add rounds to an open tab with a single lookup and item scan, keeping the service flow moving without stopping to process payment after every round. Tab settlement supports split payment across multiple tender types when the group is ready to close out.

Age Verification at Every Terminal

Every terminal requires age verification confirmation on every transaction involving age-restricted products. The cashier or barstaff confirm they have sighted a valid ID, and the system logs the time, cashier ID, and item for the audit trail. This log supports your liquor licence obligations under the Western Cape Liquor Act and demonstrates active compliance during inspections by the Liquor Authority.

Drink and Cocktail Modifiers

Build ice preferences, mixer choices, garnish options, and double-measure upsells directly into each drink item as modifiers. Barstaff select the modifier at the time of ordering so every drink ticket that fires to the bar display includes the complete specification. Double measures carry automatic price increments so upsell revenue is captured accurately on every appropriate transaction.

Bottle and Stock Control

Track stock at bottle level with configurable units-per-bottle settings so pouring a dram of whisky deducts the correct fraction from the stock count. End-of-day variance reports compare theoretical stock usage against physical bottle counts, flagging over-pouring, wastage, or unexplained shrinkage. This level of control reduces stock loss, which is one of the largest margin threats in any bar operation.

Kitchen Display for Bar Food

Route food orders placed at the bar or tables to a kitchen display screen while drinks are managed at the bar. Orders fire immediately on confirmation so kitchen and bar work in parallel. The display timestamps each ticket, highlights priority orders, and marks items as ready when complete, eliminating the lost-ticket problem common in busy pub kitchens.

Trade Period Analysis

Understand your pub's revenue by day part, day of week, and event type. Measure the impact of sports screenings, quiz nights, and live music on covers and average spend. This data helps you staff correctly, plan promotions for your quiet Tuesday nights, and negotiate better draught beer pricing with your supplier based on actual volume data.

Common Questions

Pub-specific questions about TimeWorks POS.

A bar tab is opened by the barstaff by entering the customer's name or table number at the POS. Every round added to the tab is logged against that tab reference. At settlement, the barstaff call up the tab on screen, which displays the full itemised list of every drink ordered with timestamps. The customer can review the tab, and settlement can be split multiple ways, for example, equally between four people, or itemised so each person pays for their own drinks. Payment can be taken by cash, card, or any combination, with the POS handling the split calculation automatically. Any open tabs at closing time are flagged on the end-of-night report for manager review.
In the product setup, each spirit bottle is configured with its volume in millilitres and the standard measure size for that product. When a measure of whisky is sold, the POS deducts the configured measure volume from the bottle's stock count. At the end of each trading period, the system calculates the theoretical remaining stock in each bottle based on sales and compares this against the physical bottle count recorded during close-out. Variance reports identify which products show significant discrepancy between theoretical and physical, which is usually an indicator of over-pouring, free pours, or unexplained losses that your manager can investigate.
Yes. TimeWorks supports a combined bar and food service operation from the same system. Food and drink items are configured separately, with drinks managed at the bar POS and food orders routed to a kitchen display screen. Tables can have a combined bar and food tab open simultaneously, and the settlement at the end of the meal or session produces a single itemised bill covering both. If your pub has table service, the floor layout and table management features from the restaurant module are available within the same system at no additional configuration. Many South African pubs operate exactly this hybrid model, and TimeWorks handles it without needing two separate POS systems.
Yes. Licensed trading hours can be configured per day of the week in the system settings. Attempting to process a liquor sale outside the configured hours triggers a warning on the POS and requires a manager PIN override to proceed. The override event is logged with the manager's credentials and the exact time, creating an audit record in the event of any compliance query. This feature is particularly important during long weekends when trading hours may differ from a standard Sunday, and staff may inadvertently process a sale after the licensed cut-off without a system prompt.
