Each clothing style is created once in the back-office software as a parent record with a style code and product description. You then define the available sizes and colours as variants under that style. Each variant receives its own unique barcode that encodes the style, size, and colour. When the cashier scans a garment, the POS reads the barcode, deducts the exact variant from stock, and records the size and colour in the transaction. Stock reports can be viewed at style level, showing total units across all variants, or drilled down to individual size-colour combinations so you can see exactly how many small blue linen dresses remain on the floor.
When a customer wants to layby, the cashier creates a layby agreement on the POS, records the customer's details, takes the configured deposit amount, and the system prints a layby receipt with the balance, payment schedule, and expiry date. The items are immediately reserved in stock. Subsequent payments are processed against the layby reference number. If a customer misses a payment or fails to collect by the expiry date, the system flags the overdue layby and your store policy, for example, offering a 7-day grace period before forfeiting the deposit, can be enforced through the layby configuration. Forfeited layby deposits are recorded as revenue and the items are returned to available stock automatically.

Branch managers see their own stock and sales, while the head office view consolidates everything. Stock transfers between branches are tracked as inter-branch movements, maintaining accurate stock levels at both sending and receiving locations. Customer loyalty points and purchase history are visible at any branch, so a customer who buys at your Cape Town shop is recognised and rewarded at your Johannesburg or Pretoria branch.
TimeWorks allows you to apply percentage markdown rules to a style, a brand, or an entire category at once. You configure the markdown percentage, the start date, the end date, and whether the markdown applies to all variants or only specified sizes. For clearance pricing, you can set rules that apply deeper discounts to sizes that have been in stock for more than a defined number of days. All promotional prices display correctly at the POS without the cashier needing to know the markdown rules. The system also supports mixed-basket promotions, for example, buy any two sale items and receive a further 10% off, which applies automatically when the qualifying combination is scanned.
