Renting makes sense when the trading is short. A festival, a weekend market, a corporate expo or a pop-up bar needs tills for days, not years, and buying equipment for that leaves you with hardware that sits in a cupboard. What is in an event POS kit

Short rentals are also simpler on paper. The IFRS Foundation's summary of IFRS 16 says a lessee recognises assets and liabilities for leases with a term of more than 12 months, unless the asset is of low value. An event rental of a few days falls well inside that. Ask your accountant how a longer rental is treated in your books.

Planning POS for an event in South Africa

Start with the permit, because it sets your timeline. In Cape Town, the City's Events Cape Town FAQ says organisers need an event permit for more than 200 participants, amplified sound or temporary structures, and that a small event of 200 to 2,000 people must apply at least three weeks (21 days) before the day. Bigger events have longer lead times, and other municipalities set their own rules. Events held at stadiums, venues or along a route also fall under the Safety at Sports and Recreational Events Act 2 of 2010, which covers safety, risk categorisation, accreditation and ticketing at sports, cultural, exhibition and similar events. Book your POS when you apply for the permit, so terminal numbers, the price list and staff training are planned before the gates open.

Then plan for the power. Check Eskom's load-shedding status and the schedule for the venue's area before the event, and keep battery backup on every terminal that must keep selling through an outage. Tell us if the venue has weak signal or no Wi-Fi, so card payments can be planned for the day.
