2. Products and Services Description
TimeWorks Data Solutions has been providing point of sale solutions to South African businesses since 1999. Our product and service offering includes:
POS Software
Proprietary point of sale software for hospitality and retail businesses. Built on Microsoft SQL Server with modules for table management, inventory control, staff management, reporting and integrations with third-party accounting and ordering platforms.
Hardware Sales
Supply and installation of POS hardware including touchscreen terminals, receipt printers, barcode scanners, cash drawers, pole displays and kitchen display screens. Hardware is sold with standard manufacturer warranties and installation services.
Hardware Rentals
Monthly rental of POS hardware packages. Suitable for start-up businesses, seasonal traders and event-based operations. Rental packages include installation and ongoing technical support.
Online Ordering Integration
Integration of online ordering platforms with the TimeWorks POS system, allowing restaurants and takeaway businesses to receive and manage digital orders directly at the POS.
Kitchen Display Systems (KDS)
Digital display systems for kitchen order management. Replaces printed order tickets with screen-based order routing and status tracking.
CCTV Integration
Security camera systems that integrate with POS transaction data, allowing businesses to cross-reference transactions with camera footage for security and loss prevention.
Technical Support
Installation, configuration, staff training and ongoing technical support for all TimeWorks products. Support is available by phone, email, remote access and on-site visits.
3. Pricing
All prices quoted by TimeWorks Data Solutions are inclusive of VAT at the current standard rate unless stated otherwise. Additional costs that may apply are disclosed before any order is confirmed:
- Delivery fees: Hardware delivery is charged based on destination and order size. The delivery fee will be quoted and confirmed before your order is placed.
- Installation fees: On-site installation fees apply where applicable. These are disclosed in your quote.
- Travel costs: For on-site support calls outside our standard service area, reasonable travel costs may be charged and will be disclosed in advance.
- Software licence fees: Ongoing software licence fees are detailed in your Software Agreement.
- Training fees: Additional training beyond initial onboarding may be charged at an agreed hourly or daily rate.
Prices on our website are indicative. Confirmed pricing is provided in a written quote. All quotes are valid for 30 days from the date of issue unless otherwise stated.
4. Payment Methods Accepted
TimeWorks Data Solutions accepts the following payment methods:
- Electronic Funds Transfer (EFT) - our preferred method for invoiced sales
- Credit and debit card payments via our secure third-party payment gateway
- Debit order for monthly rental and software licence agreements
Payment is due within the terms stated on your invoice. For hardware purchases, payment in full is required before delivery or installation unless a separate credit agreement has been arranged in writing.
5. Delivery Timeframes
Delivery and installation timeframes are provided in your quote. As a general guide:
- In-stock hardware: Typically delivered and installed within 3-7 business days in the Cape Town metro area, subject to technician availability.
- Ordered or imported hardware: Lead times of 2-6 weeks may apply. This will be confirmed in writing at the time of order.
- Software setup: Software configuration and licensing is typically completed within 1-3 business days after hardware installation.
- National deliveries: Hardware deliveries to areas outside Cape Town are via courier. Delivery times depend on destination and courier availability.
TimeWorks will notify you of any delays that arise after an order has been confirmed. Timeframes are estimates and not guarantees, subject to factors outside our reasonable control such as stock availability and courier delays.
6. Return, Exchange and Refund Policy
Our full return and refund policy is set out in our Refund and Returns Policy. A brief summary follows:
- Hardware defects reported within 7 days of delivery will be replaced or repaired at no charge.
- Returns of undamaged hardware in original packaging may be accepted within 30 days, subject to a handling fee.
- Software licences are non-refundable once activated and configured, except where required by consumer protection law.
- Installation and labour charges are non-refundable once services have been rendered.
- Rental hardware returned in undamaged condition will not attract a further rental charge after the return date, subject to the terms of the rental agreement.
The Consumer Protection Act 68 of 2008 applies to all transactions with consumers.
7. Cancellation Policy
Cancellation terms depend on the type of product or service:
- Hardware orders not yet delivered: May be cancelled within 48 hours of order confirmation at no charge. Cancellations after 48 hours may be subject to a cancellation fee if the order has been processed or sourced.
- Software licences: Where a minimum contract period applies, early cancellation fees are set out in your Software Agreement.
- Rental agreements: Cancellation notice periods and conditions are set out in your Rental Agreement Terms. See Rental Agreement Terms.
- Support contracts: Cancellation terms are specified in your support agreement.
All cancellations must be submitted in writing to Contact us or by post to our registered address.
8. Warranty Information
Hardware sold by TimeWorks Data Solutions carries the manufacturer's standard warranty, which typically covers manufacturing defects for a period of 12 months from the date of delivery. Specific warranty terms vary by product and are confirmed in your invoice or product documentation.
Warranties do not cover:
- Damage caused by misuse, negligence or unauthorised modification
- Normal wear and tear
- Damage caused by power surges, flooding or other environmental events
- Consumable items such as receipt paper and printer ribbons
Where a warranty claim is valid, TimeWorks will arrange for repair or replacement at our discretion. Extended warranty and hardware maintenance plans are available - please contact us for details.
9. Minimum Contract Duration
Some TimeWorks products and services are subject to a minimum contract period:
- Software licences: Annual or multi-year licence terms apply depending on the agreement. The minimum term is specified in your Software Agreement.
- Hardware rentals: A minimum rental period applies. Standard minimum term is 12 months unless otherwise agreed in writing. See Rental Agreement Terms.
- Support contracts: Minimum term is specified in your support agreement, typically 12 months.
- Hardware sales and once-off services: No minimum term applies.
All minimum terms and any early termination provisions are set out in your signed agreement.
10. Security of Transactions
TimeWorks Data Solutions takes the security of transactions seriously. The following safeguards apply to all financial transactions conducted through or facilitated by our business:
- PCI-DSS compliant gateways: All card payments are processed through third-party payment gateways that are certified to the Payment Card Industry Data Security Standard (PCI-DSS). TimeWorks never stores, processes or transmits card data on its own systems.
- No card data stored: We do not store cardholder data. Card details entered during payment are handled exclusively by the certified payment gateway provider.
- HTTPS encryption: Our website uses TLS/HTTPS encryption to protect data transmitted between your browser and our website.
- EFT verification: All EFT payments are verified against our banking records before orders are processed. Please ensure you use the correct reference number as stated on your invoice.
11. Transaction Process
When ordering products or services from TimeWorks, the following process applies in terms of Section 43(2) of the ECT Act:
- Review before submission: All orders, whether submitted via our website, by email or in person, are subject to a review step. We will send you a written quote or order summary before any order is confirmed.
- Correction of errors: You have the opportunity to review and correct any errors in your order before it is confirmed. Contact us at Contact us as soon as possible if you identify an error.
- Right to withdraw: You may withdraw from an order at any time before confirmation. Once an order is confirmed in writing, our cancellation policy (see Section 7) applies.
- Order confirmation: You will receive written confirmation of your order by email after it has been accepted. The confirmation will include a summary of the products or services ordered, pricing and estimated delivery timeframes.
- Contract formation: A binding contract is formed when TimeWorks sends you a written order confirmation. Quotes do not constitute binding offers until accepted and confirmed by both parties in writing.
12. Industry Memberships and Certifications
TimeWorks Data Solutions is a South African company registered and operating in compliance with South African legislation. We are a Level 1 B-BBEE certified business. Details of our B-BBEE certificate are available on request.
We comply with the applicable requirements of the Consumer Protection Act 68 of 2008, POPIA, the ECT Act, the Companies Act 71 of 2008 and all other applicable legislation. Our payment processing partners hold PCI-DSS certification relevant to their services.
